# Choosing the Right Size Walk-In Cooler or Freezer

Size a walk-in by product volume rather than seat count: the cubic-footage math, cooler-to-freezer split, growth headroom, and urban footprint limits.

## Start With Volume, Not Square Feet

The most common sizing mistake is starting with the space available and asking how big a box will fit. That gets you a walk-in sized to your back-of-house layout rather than to your operation, which is either too small on your busiest week or too large every other week.

**How many cases or containers do you hold at once?** Not how many you order per month. How many are physically in cold storage at peak, typically right after your largest delivery.

**How much space does each take?** Cases vary enormously. Produce cases, protein cases, and dairy crates are all different, so an average across your actual mix is more useful than a standard figure.

**How much access allowance do you need?** Product volume is not box volume. You need aisles, you need to reach the back of shelves, and you cannot stack to the ceiling. A typical allowance runs somewhere between two and three times the raw product volume depending on how dense your storage can be and how high your turnover is.

Multiply those and you have a target interior volume. Divide by usable ceiling height and you have a rough floor footprint.

## Cooler and Freezer Split

Most operations need both, and the ratio depends heavily on the menu and the ordering pattern.

Kitchens ordering fresh product several times a week lean cooler-heavy. Kitchens doing significant batch prep, holding frozen protein, or receiving less frequent deliveries need proportionally more freezer.

The decision worth making carefully is whether to build both at once. Adding a freezer compartment two years after the cooler goes in means new panels, a second refrigeration system, more electrical work, and a second round of permitting and disruption. Building a combination box with a partition at the outset is dramatically cheaper than doing it twice.

## Urban Footprint Reality

In Portland’s Central Eastside, Pearl, and downtown restaurant spaces, floor area is the binding constraint far more often than budget. Back-of-house is small, and every square foot given to cold storage is a square foot not given to prep, dish, or dry goods.

Two things help. First, going up: a taller box with proper shelving gets you volume without footprint, as long as your ceiling height and your staff’s reach allow it. Second, remote condensing: moving the condensing unit to the roof frees the space a self-contained unit would occupy and stops dumping heat into an already hot kitchen.

> An oversized walk-in does not just waste floor space, it wastes energy continuously. You are paying to cool empty volume every hour of every day, and a lightly loaded box also holds temperature worse during a failure because there is less thermal mass. Bigger is not safer.

## Growth Headroom, Honestly

Build in enough margin to absorb your busiest season and a reasonable menu expansion. Do not build in margin for a hypothetical doubling of volume. If that growth arrives, it will likely come with a larger space or a second location anyway.

A practical way to think about it: size to your current peak hold, then add enough that a heavy delivery week does not force product onto reach-ins or the floor. That is usually a modest margin, not a large one.

## Bring These Numbers to the Conversation

Before you call, get a rough count of cases held at peak, a sense of your cooler-to-freezer split, your available floor dimensions, and your ceiling height. With those four items a designer can give you a realistic footprint in one conversation rather than three.

## Shelving Decides How Much of the Box You Can Actually Use

Two walk-ins with identical interior volume can hold very different amounts of product depending on how they are racked.

Depth matters most. Shelving deeper than a person can comfortably reach means the back third becomes dead storage where things go to expire. Two shorter runs generally beat one deep run for the same footprint.

Height is the cheap win. Adding a shelf level uses volume you already paid to cool, provided your staff can safely reach it and the top shelf does not block the evaporator’s airflow path. That last point gets violated constantly: stacking cases in front of the evaporator starves circulation and produces warm spots the temperature controller never sees.

Aisle width is the constraint people underestimate. If product moves in and out on carts or hand trucks, the aisle has to accommodate that, and a walk-in sized without allowing for it becomes a place where staff unload by hand.

Plan racking alongside the box rather than after it. It routinely changes the footprint you actually need by a meaningful margin.

## Sizing Freezers Differently From Coolers

Freezers reward tighter sizing more than coolers do, because every cubic foot costs more to build and more to run.

They also benefit more from being kept full. A well-packed freezer holds temperature through a door cycle and through a short failure far better than an empty one, since the frozen mass itself is thermal ballast. A cavernous, half-empty freezer is expensive in both directions.

Size the freezer to your realistic frozen hold, not to the possibility of bulk-buying opportunistically. That flexibility is usually cheaper to rent than to build.

Seat-count rules of thumb are unreliable because menus vary enormously in how much cold storage they demand. A produce-heavy menu with daily deliveries needs different space than a protein-heavy menu with weekly ordering. Product-volume math beats any per-cover rule.

Is it bad to oversize a walk-in?

Yes, in two ways. An oversized box costs more to run because you are cooling empty air, and it consumes floor space that a tight commercial kitchen cannot spare. Size to real product volume plus modest growth headroom rather than to the largest box that fits.

Should I build one box or separate cooler and freezer?

Separate compartments are almost always better than a single box with a freezer section retrofitted later. Combination units with a shared envelope and a partition wall are common and work well, and building both at once is far cheaper than adding the second one in two years.
