How to check warranty status, what coverage usually includes and excludes, and how out-of-warranty repair differs on parts, pricing, and decision-making.

## Step One: Find Out Where You Stand

Most operators genuinely do not know whether their equipment is under warranty, which means the default assumption is usually wrong in one direction or the other.

Checking is straightforward. Locate the data plate, record the model number, serial number, and purchase or install date, and have an authorized servicer verify status with the manufacturer. Our

That last exclusion deserves attention. No commercial refrigeration warranty covers the inventory you lost when the unit failed. Manufacturers cover the equipment. Protecting the product is what temperature monitoring and preventive maintenance are for.

The maintenance exclusion is the one that catches people. Several manufacturers will decline a compressor claim if the condenser has clearly never been cleaned, on the grounds that the failure was caused by neglect rather than defect. Documented maintenance is part of the warranty, whether or not it reads that way.

## How the Two Repairs Differ in Practice

**Warranty repair:** we verify coverage, dispatch a manufacturer-certified technician, diagnose, source genuine OEM parts through the authorized channel, complete the repair, and file the claim. You are billed for whatever falls outside coverage, which is sometimes nothing and sometimes labor only.

**Out-of-warranty repair:** same technicians, standard hourly rates, and a choice on parts. OEM gives you correct specification and manufacturer backing. The short version: a single moderate repair on a seven-year-old unit running modern refrigerant is usually worth doing. A third repair in eighteen months on a fifteen-year-old R-22 system usually is not, however tempting the smaller invoice looks in the moment.

If you have equipment inside its term, four habits keep it valid. Use authorized service. Insist on genuine OEM parts. Keep maintenance records. Follow the manufacturer’s stated maintenance requirements, particularly condenser cleaning intervals.

None of that is difficult. All of it is the difference between a free compressor and a declined claim.

## Parts Availability on Older Equipment

One factor that shifts the out-of-warranty calculation more than people expect is whether parts still exist.

Manufacturers support equipment for a period after production ends, then components go obsolete. On a discontinued model, a common part may still be available through aftermarket suppliers while a proprietary control board is not. When the unavailable part is the one that failed, the repair conversation is over regardless of what the labor would have cost.

**Keep service reports.** Every visit, every unit. They establish maintenance history, which several manufacturers require to honor a claim, and they show you the failure pattern on a unit before you have to make a replacement decision.
